Who we are
SukuuHub is a school management platform operated by Emmaktech Networks, based in Takoradi, Ghana ("we", "us"). This policy explains what personal data we handle and why.
Our role depends on the data. For information about the people who use SukuuHub (such as a school’s staff accounts), we are the data controller. For student, parent and guardian records that a school enters, the school is the data controller and we act as its data processor, handling the data only on the school’s instructions.
Data we collect
We collect only what is needed to run the service. Depending on how a school uses SukuuHub, this includes:
- Account data: name, email address, phone number, role and school name, plus login credentials (passwords are stored hashed, never in plain text).
- School records entered by the school: student profiles, class assignments, guardian contacts, attendance, exam results, fee structures, payments and receipts, and staff records.
- Messages: details you send through our contact form or by email, and SMS notifications a school sends through the platform.
- Usage and device data: pages visited, actions taken, browser and device type, IP address and error logs, used to keep the service working and secure.
How we use data
- To provide the platform: running accounts, storing records, syncing offline changes and generating report cards and receipts.
- To send service messages, such as sign-in codes, security alerts, billing notices and SMS or email notifications a school asks us to send.
- To support schools and answer enquiries.
- To secure the platform, prevent fraud and fix bugs.
- To improve SukuuHub, using aggregated or de-identified information wherever possible.
- To meet legal obligations.
We do not sell personal data, and we do not use student data for advertising.
Children’s data
Schools use SukuuHub to hold information about children. We treat this data with extra care. Students do not create SukuuHub accounts; their records are entered and managed by authorised school staff, and parents or guardians can view them only through a school-approved parent portal.
Schools are responsible for having a proper basis, and any consent or notice required, to record and share their students’ information. If you are a parent and want to see or correct your child’s record, please contact the school first.
Legal basis
We handle personal data in line with the Data Protection Act, 2012 (Act 843) of Ghana. Our grounds are: performing our contract with the school, our legitimate interest in running and securing the service, compliance with legal obligations, and consent where the law requires it.
Who we share data with
We share data only where needed to run SukuuHub:
- Service providers that host our systems, send SMS and email, or process payments, under agreements that limit their use of the data.
- The school and people it authorises, such as teachers, administrators and parents with portal access.
- Authorities, where the law requires it or to protect rights and safety.
- A successor, if Emmaktech Networks is part of a merger or sale. We would tell schools before their data became subject to a different policy.
Data stored on your device
To work without internet, SukuuHub keeps a copy of the data you are allowed to see in your browser’s local storage until it syncs. Anyone with access to that device and browser profile could see it, so please use a screen lock, avoid shared computers where possible, and sign out when finished. See our Cookies page for more.
Where data is stored
Our hosting and messaging providers may process data on servers outside Ghana. When that happens, we take steps to make sure the data stays protected to a standard comparable to Ghanaian law.
How long we keep data
We keep school data while the school’s account is active. If a school closes its account, we delete or anonymise its data within a reasonable period, unless we must keep certain records by law (for example, billing records). Schools can ask for an export of their data before closing.
Your rights
Under Ghanaian law you can ask to:
- know what personal data we hold about you and get a copy,
- correct data that is wrong or incomplete,
- ask us to delete data we no longer need,
- object to certain uses, including direct marketing.
For student and parent records, requests are best sent to the school, because the school controls that data. We will help the school respond. To exercise a right over data we control, email us using the address below. We may need to confirm who you are first.
Security
We use technical and organisational safeguards to protect personal data. Read more on our Security page. No system is completely secure, and we will notify affected schools and, where required, the Data Protection Commission if a breach puts personal data at risk.
Changes to this policy
We may update this policy as SukuuHub changes. If a change is significant, we will notify account holders by email or inside the app before it takes effect. The date at the top shows when it was last updated.
